Transaction Filters to Streamline Your Workflow

The easiest way to shorten your action list inside Smile Advantage Dashboard

The Transactions screen includes powerful filters that help you immediately narrow down your list of payments to only the items that need your attention. Instead of scrolling through long histories of transactions, you can use filters to instantly surface the most important items — failed payments, unposted payments, or anything requiring follow-up.

These filters are one of the fastest ways to stay organized.

Status, Ledger, and Date Range Filters: All Located at the Top of Your Transactions Screen

    • Navigate to the top of your dashboard and click on ‘Payments‘  then ‘All Transactions‘.
    • On this screen, just above your transaction list, is the Select a Date Range filter. This tool lets you instantly limit your list to a specific time frame.
    • To the top right of your transaction list, you’ll see two filter dropdowns — Status and Ledger.
      • These filter dropdowns allow you to instantly narrow your view to only the payments that require attention. From here, you can filter by outcome (Failed, Pending, Complete) or by posting status (Posted, Not Posted) with a single click.


Status Filters

The Status dropdown lets you view only transactions with a specific outcome:

    • Failed – quickly surfaces declines, expired cards, or renewal failures
    • Complete – see successful payments only
    • Pending – monitor transactions that have not yet finalized
    • Refunded – view completed refunds at a glance
    • Canceled – transactions canceled prior to completion

Why this helps

Selecting Failed is especially useful — it instantly trims your list down to only the payments needing follow-up, instead of hunting for red text in a long transaction history.


 

Ledger Filters

The Ledger filter allows you to view transactions based on whether they were posted back to your practice management system.

  • Not Posted – shows only the payments still waiting to be sent to the ledger

  • Posted – shows completed ledger entries

Why this helps

Filtering by Not Posted gives you a ready-made checklist for end-of-day or end-of-week review. You’ll see only the items that still require action.


 

A Quick Workflow That Practices Love

By combining these filters — Status, Ledger, and even the date range picker — you can quickly reduce thousands of transactions into a small, actionable list.

Most practices use this flow:

  1. Status → Failed

    • Resolve card declines or expired payments

  2. Ledger → Not Posted

    • Post remaining payments to your PMS

  3. Date Range → Today / This Week

    • Verify everything looks clean

This turns a large, overwhelming transaction screen into a simple checklist you can clear in minutes.
